Creating an Organisation Chart from a SharePoint List:

Creating an organisation chart from a SharePoint list is a two stage process:

  • Step one is creating a suitable list holding the data for the org chart.
  • Step two is configuring the Org Chart Web part to display the list.

Creating a List:

The SharePoint Org Chart web part can draw an organisation chart from any SharePoint list that follows these rules.

  • Has a Primary Key - a field that uniquely identifies each row. For example it could be a full name or more likely the SharePoint Person
  • Has a Parent Field - a field that identifies the parent of this row. This could be a LookUp field or more likely the SharePoint Person

1. Create a custom list
Create a custom list called ProjectPeople. From the Site Actions Menu select More Options.

Choose a Custom List. Enter the name ProjectPeople and press the Create button.

2. Create a custom list with column "Name"
Now we will add two addtional fields. From the List Ribbon select Create Column. Then add a column called Name as a single line of text.

3. Create another column "Manager" as LookUp
Add a column called Manager that is a LookUp, setting the "Get Information From" list to ProjectPeople and In this column to Name It is important that the Requires that this column contains information is set to NO.

4. Populate the list pt.1
Now enter some information into the list. In the example shown a project manager called Jane Smith has been added. As she is the head of the project we have not selected a manager.

Next we add the people who report to Jane. In this example we add Tom and Mike who are responsible for testing and development both report to Jane.

In the final list we have added two developers reporting to Mike. Now we are ready to configure the org chart.

Adding the SharePoint Org Chart to the page

5. Create a page that supports web parts
Create a new page called ProjectOrgChart by selecting the Add Pages option from the Site Actions menu.

6. Add a web part page
Select the OrgChart web part from Custom Categories and add the web part to the page.

7. Configure the Org Chart pt.1
Once added the org chart web part will require configuring. Click the link on the web part to open the tool pane.

8. Configure the Org Chart pt.2
In the Data Source section of the tool pane enter the Primary key as Name, Manager as Manager and enter the name of the SharePoint list ProjectPeople as the URL.

9. Apply changes
Once the Apply button has been pressed an organisation chart will be displayed.

10. Select Show Primary Field in the Look & Feel section of the menu
To complete this chart select the Show Primary Key Field checkbox from the Look & Feel section of the properties menu.

11. Apply & complete the Org Chart
To complete this chart select the Show Primary Key Field checkbox from the Look & Feel section of the properties menu.
